Products & Services

Manage your product catalog and service offerings. This guide covers creating, organizing, and using products and services in your CRM.

Overview

The Products & Services feature allows you to:

  • Create a catalog of products and services
  • Set pricing (fixed or hourly)
  • Track inventory for products
  • Quickly add items to invoices and quotes
  • Organize offerings by type

Product vs Service

Products

  • Physical items you sell
  • Can have inventory tracking
  • SKU numbers for identification
  • Stock levels and reorder points

Services

  • Non-physical offerings
  • Typically billed by hour or fixed price
  • No inventory tracking
  • Examples: Consulting, Design, Maintenance

Creating Products & Services

Basic Creation

  1. Navigate to Products & Services in the sidebar
  2. Click Add Product or Add Service
  3. Fill in the details:
    • Name (required): Product or service name
    • Type: Product or Service
    • Description (optional): Detailed description
    • Pricing Model: Fixed or Hourly
    • Price (required): Unit price
    • SKU (optional): Stock keeping unit for products
  4. Click Save

Pricing Models

Fixed Price

  • One-time price per unit
  • Example: $100 for "Website Design"
  • Quantity multiplies the price

Hourly Rate

  • Price per hour
  • Example: $75/hour for "Consulting"
  • Used with timesheet hours

SKU Management

SKUs (Stock Keeping Units) help identify products:

  • Unique identifier per product
  • Format: Your choice (e.g., "PROD-001", "WIDGET-XL")
  • Used for inventory tracking
  • Searchable in the system

Managing Your Catalog

Product List

View all products and services:

  • Name and description
  • Type (Product/Service)
  • Pricing model
  • Price
  • SKU (for products)
  • Last updated date

Search & Filter

  • Search by name, SKU, or description
  • Filter by type (Product/Service)
  • Filter by pricing model

Editing Products

  1. Find the product in the list
  2. Click Edit
  3. Update any fields
  4. Click Save

Note: Changing prices doesn't affect existing invoices/quotes.

Deleting Products

  1. Select the product
  2. Click Delete
  3. Confirm deletion

Warning: Products used in invoices/quotes cannot be deleted. Archive them instead.

Using Products in Invoices & Quotes

Adding Products to Line Items

When creating invoices or quotes:

  1. Click Add Line Item
  2. Optionally click Select from Products
  3. Choose a product from your catalog
  4. Quantity and rate are pre-filled
  5. Adjust if needed
  6. Add to invoice/quote

Benefits of Using Products

  • Consistency: Same pricing across all invoices
  • Speed: Faster invoice creation
  • Tracking: See which products sell most
  • Reporting: Revenue by product analytics

Inventory Management

Setting Up Inventory

For products with inventory tracking:

  1. Go to Inventory page
  2. Find or create inventory record for product
  3. Set:
    • Current Quantity: Stock on hand
    • Low Stock Alert: Threshold for warnings
    • Reorder Point: When to reorder
  4. Save

Inventory Tracking

  • Track stock levels
  • Receive low stock alerts
  • View inventory history
  • Generate inventory reports

Product Categories

While categories aren't built-in yet, you can:

  • Use naming conventions (e.g., "Product - Widget")
  • Add descriptions with category information
  • Use SKU prefixes for organization

Best Practices

  • Complete descriptions: Help team members understand offerings
  • Consistent naming: Use clear, consistent product names
  • Regular updates: Keep prices current
  • SKU standards: Establish SKU naming conventions
  • Archive unused: Don't delete, archive old products
  • Link to inventory: Set up inventory for physical products

Product Reports

View product analytics in Reports:

  • Revenue by product
  • Most sold products
  • Product performance over time
  • Inventory valuation

Integration

Products integrate with:

  • Invoices: Quick selection when creating invoices
  • Quotes: Same product catalog
  • Inventory: Stock tracking for products
  • Reports: Revenue and sales analytics
