Client Segments
Organize and categorize your clients into segments for targeted marketing, reporting, and automation.
Overview
Client segments allow you to:
- Group clients by common characteristics
- Create dynamic segments based on criteria
- Target specific client groups for campaigns
- Filter reports by segment
- Automate actions based on segment membership
Creating a Segment
- Navigate to Segments in the sidebar
- Click Create Segment
- Enter segment details:
- Name: Descriptive name (e.g., "High-Value Clients", "Monthly Subscribers")
- Description: Optional description
- Add criteria:
- Field: Select field to filter by (e.g., "Total Revenue", "Last Invoice Date")
- Operator: Choose comparison (equals, greater than, contains, etc.)
- Value: Enter value to match
- Add multiple criteria (all must match for AND logic)
- Click Save
Segment Criteria
Available Fields
- Company Name: Client company name
- Email: Client email address
- Total Revenue: Sum of all invoice totals
- Invoice Count: Number of invoices
- Last Invoice Date: Date of most recent invoice
- Average Invoice Amount: Average invoice total
- Status: Client status (if configured)
- Tags: Client tags (if configured)
Operators
- equals: Exact match
- not_equals: Not equal to
- contains: Text contains value
- greater_than: Numeric comparison
- less_than: Numeric comparison
- is_empty: Field is empty
- is_not_empty: Field has value
Example Criteria
- Total Revenue greater_than 10000 - High-value clients
- Invoice Count greater_than 5 - Repeat customers
- Last Invoice Date less_than 30 days ago - Inactive clients
- Email contains @example.com - Specific domain
Dynamic Segments
Segments are dynamic - clients are automatically added or removed based on criteria:
- No manual client assignment needed
- Updates automatically as client data changes
- Always reflects current client base
Managing Segments
Viewing Segments
- Navigate to Segments
- View all segments with:
- Segment name
- Client count
- Last updated date
Viewing Segment Clients
- Click on segment name
- View all clients matching segment criteria
- See client details and metrics
Editing Segments
- Find the segment
- Click Edit
- Update name, description, or criteria
- Click Save
- Client list updates automatically
Deleting Segments
- Find the segment
- Click Delete
- Confirm deletion
Note: Deleting a segment doesn't affect clients, only the segment definition.
Using Segments
Filtering Clients
- Navigate to Clients
- Use segment filter dropdown
- Select segment
- View only clients in that segment
Reports
- Navigate to Reports
- Select segment filter
- View reports for specific segment
- Compare segments side-by-side
Automation
Use segments in automation rules:
- Trigger actions for clients in specific segments
- Send targeted emails to segment members
- Create tasks for segment-based workflows
Exporting
- View segment clients
- Click Export
- Download CSV with segment clients
- Use for marketing campaigns or analysis
Common Segment Examples
High-Value Clients
- Total Revenue greater_than 50000
- Use for: VIP treatment, priority support
Active Clients
- Last Invoice Date less_than 90 days ago
- Use for: Recent activity, engagement campaigns
Inactive Clients
- Last Invoice Date greater_than 180 days ago
- Use for: Re-engagement campaigns, win-back offers
Monthly Subscribers
- Invoice Count greater_than 12
- Average Invoice Amount equals Monthly Amount
- Use for: Subscription management, retention
New Clients
- First Invoice Date greater_than 30 days ago
- Use for: Onboarding, welcome campaigns
Best Practices
- Clear naming: Use descriptive segment names
- Specific criteria: Make criteria specific and measurable
- Regular review: Review segments periodically for accuracy
- Combine segments: Use multiple segments for complex targeting
- Document purpose: Add descriptions explaining segment purpose
- Test criteria: Verify segment includes expected clients
Limitations
- Segments are read-only (cannot manually add/remove clients)
- Criteria must match exactly (case-sensitive for text)
- Complex logic (OR conditions) requires multiple segments
- Segment updates may take a few moments to reflect
