Project Management

Manage projects, tasks, and team collaboration. Track progress, assign work, and organize client projects.

Overview

The Projects feature provides:

  • Project creation and organization
  • Task management with assignments
  • Progress tracking
  • Client association
  • Team collaboration
  • Time tracking integration

Creating a Project

  1. Navigate to Projects in the sidebar
  2. Click Create Project
  3. Fill in project details:
    • Project Name (required)
    • Client (optional): Associate with a client
    • Description (optional)
    • Start Date (optional)
    • End Date (optional)
    • Status: Planning, In Progress, On Hold, Completed, Cancelled
  4. Click Save

Project Statuses

Planning

  • Project is being planned
  • Not yet started
  • Can add tasks and prepare

In Progress

  • Active project
  • Work is being done
  • Tasks are being completed

On Hold

  • Temporarily paused
  • Can be resumed later
  • Tasks remain but work stops

Completed

  • Project is finished
  • All work done
  • Can be archived

Cancelled

  • Project was cancelled
  • No further work
  • Can be archived

Managing Tasks

Adding Tasks

  1. Open a project
  2. Click Add Task
  3. Fill in task details:
    • Task Name (required)
    • Description (optional)
    • Assignee (optional): Assign to team member
    • Due Date (optional)
    • Priority: Low, Medium, High
    • Status: To Do, In Progress, Done
  4. Click Save

Task Statuses

  • To Do: Not started
  • In Progress: Currently being worked on
  • Done: Completed

Assigning Tasks

  • Assign tasks to team members
  • Assigned users see tasks in their view
  • Notifications sent on assignment
  • Filter tasks by assignee

Project Views

List View

  • See all projects in a table
  • Filter by status, client, date
  • Quick actions (edit, delete)

Board View (Kanban)

  • Visual board with columns
  • Drag tasks between statuses
  • See project progress at a glance

Detail View

  • Full project information
  • All tasks listed
  • Team members
  • Timeline and milestones

Time Tracking Integration

Linking Timesheets

Projects integrate with timesheets:

  1. When logging time, select the project
  2. Time is tracked per project
  3. View project time totals
  4. Billable vs non-billable hours

Project Time Reports

View time spent on projects:

  • Total hours per project
  • Hours by team member
  • Billable hours summary
  • Time by task

Client Association

Linking to Clients

Associate projects with clients:

  • Filter projects by client
  • Client sees their projects
  • Invoices can reference projects
  • Track client project history

Team Collaboration

Team Members

Add team members to projects:

  1. Open project
  2. Click Add Team Member
  3. Select employee
  4. Assign role (optional)

Project Updates

  • Add updates and notes
  • Team members can comment
  • Track project changes
  • Communication history

Project Templates

Create project templates for:

  • Common project types
  • Standard task lists
  • Reusable structures
  • Faster project setup

Best Practices

  • Clear naming: Use descriptive project names
  • Set milestones: Break projects into phases
  • Regular updates: Keep status current
  • Assign clearly: Make sure tasks have owners
  • Track time: Log all project time
  • Link to clients: Associate with clients for context
