Manage and view email conversations with enhanced threading visualization and workflow matching insights.

Viewing Conversations

Email Conversations Page

Navigate to Email Conversations page to view all email conversations:

  • Search: Search by sender email, subject, or contact information
  • Status Filter: Filter by conversation status (Active, Ended, Qualified)
  • Thread Indicators: Thread icon shows conversations that are part of an email thread
  • Real-Time Updates: Conversations update automatically

Conversation Details

Click any conversation to view detailed information:

  • Full Email Thread: All messages in the conversation
  • Contact Information: Extracted contact data (name, email, phone, company)
  • Workflow Match Details: Which workflow processed the email and why
  • Thread Navigation: Navigate between related emails in the thread
  • Qualification Status: Whether the lead is qualified

Email Threading

Threading Overview

Emails are automatically threaded by subject line and sender:

  • Replies to the same email are grouped into one conversation
  • Subject prefixes (Re:, Fwd:) are normalized for matching
  • Conversations are reactivated if new email arrives within 30 days
  • Thread position and count are displayed in conversation details

Thread Visualization

In Conversation Details:

  • Thread Badge: Shows current position in thread (e.g., "Thread 2 of 5")
  • Thread Timeline: Visual timeline showing all emails in the thread
  • Thread Navigation:
    • Click any email in the timeline to view it
    • "Previous in thread" / "Next in thread" buttons for quick navigation
    • Current conversation is highlighted
  • Thread Info: Shows total messages in thread and original subject

In Conversation List:

  • Thread Icon: Email icon with "Thread" label indicates threaded conversations
  • Subject Display: Original subject shown with truncation for long subjects
  • Thread Grouping: Related emails are visually connected

Thread Navigation

From Conversation Details:

  • Click any email in the thread timeline to jump to that conversation
  • Use "Previous in thread" / "Next in thread" buttons
  • Thread position badge shows your current location

Thread Features:

  • All emails in a thread share the same normalized subject
  • Thread conversations are ordered chronologically
  • Message count shown for each conversation in thread
  • Thread depth and structure are clearly displayed

Workflow Matching Visualization

Workflow Match Details

When viewing an email conversation, you can see detailed workflow matching information:

Matched Workflow:

  • Shows which workflow processed the email
  • Displays workflow name, priority, and goal
  • Color-coded badge indicates match status
  • Link to view/edit the workflow

Match Explanation:

  • Keywords Found: Shows which keywords triggered the match (displayed as badges)
  • Goal Match: Indicates if workflow goal matched
  • Priority Rank: Shows where this workflow ranked in priority order
  • Match Type: Keyword match, goal match, or fallback

Competing Workflows:

  • Lists other workflows that were considered
  • Shows which workflows would have matched if priority was higher
  • Displays why each competing workflow didn't match
  • Collapsible section to reduce clutter

Test Match Feature

From Conversation Details:

  1. Click Test Match button in the Workflow Match section
  2. Enter sample email subject and/or body
  3. Click Test Match to see results
  4. Review:
    • Which workflow would match
    • Why it matched (keywords, goal, priority)
    • All workflows checked with matching status
    • Reasons why competing workflows didn't match

Use Cases:

  • Debug why a workflow didn't match an email
  • Test workflow priority and keyword matching
  • Understand workflow matching logic
  • Optimize workflow configuration

Conversation Status

Status Indicators

  • Active: Conversation is ongoing (green clock icon)
  • Ended: Conversation has ended (gray X icon)
  • Qualified: Lead meets qualification criteria (green checkmark)

Qualification

  • Automatic Qualification: Leads are qualified based on workflow and AI evaluation
  • Manual Qualification: Can be manually qualified/unqualified in conversation details
  • Qualification Criteria: Based on budget, timeline, project scope, and other factors

Search and Filter

Search Functionality

  • Search Fields: Sender email, subject, contact name, company
  • Real-Time Search: Results update as you type
  • Thread Awareness: Search results show thread indicators

Filters

  • Status: Active, Ended, Qualified
  • Date Range: Filter by conversation date
  • Channel: Email conversations only

Best Practices

  1. Use Thread Navigation: Navigate between related emails to see full conversation context
  2. Review Workflow Matches: Check workflow matching details to optimize workflows
  3. Test Workflow Matching: Use Test Match feature to debug and optimize workflows
  4. Monitor Threading: Verify emails are properly threaded by subject
  5. Check Qualification: Review qualified leads for follow-up
